Creating space for students to speak up about their wellbeing

St Luke’s Grammar School, a large independent Christian school in New South Wales, introduced My Mind Check to strengthen its ability to identify and support students with previously undetected wellbeing needs. My Mind Check equipped staff with a valuable new source of insight and gave students an additional, accessible way to communicate when they’re finding things difficult. Staff observed a noticeable shift in students’ comfort and confidence — check-ins helped destigmatise wellbeing conversations and surface needs that might otherwise have gone unnoticed.

Starting small
St Luke’s Grammar School first trialled My Mind Check with Year 12 students, identifying this as a valuable opportunity to support students as they entered their final year of schooling and to provide staff with insights to guide them through this important stage. After this initial trial, the school expanded check-ins to other year levels.
Check-ins were scheduled during regular pastoral care sessions, with groups of approximately 17–20 students participating in each session. To ensure timely and supportive follow-up, the school adopted a two-step process for students identified as Struggling (red) or Vulnerable (amber). An initial written email was sent within 24 hours using My Mind Check’s automatically generated student communication templates, followed by a one-on-one conversation with their Year Level Coordinator, during which counselling referrals were arranged where needed.
Opening up conversations about wellbeing
Year Level Coordinators at St. Luke’s Grammar School have greatly valued the opportunity My Mind Check has created to connect with students one-on-one and engage purposefully in wellbeing-focused conversations. Early outcomes indicate this approach is making a measurable difference.
Staff have observed a noticeable shift in students’ comfort and confidence when talking about their mental health. Check-ins have helped to destigmatise these conversations and demystify what seeking support looks like. For many, the check-in was an opportunity to share how they’re feeling, knowing their responses would be received “in a non-judgemental way” and met with understanding. Importantly, this approach has helped surface the needs of students who might otherwise have flown under the radar.

Easy and intuitive for staff
Running twice-yearly check-ins through My Mind Check has created a manageable rhythm that encourages genuine reflection without leading to survey fatigue. The high-level summary data has made it easier for staff to identify key themes and respond thoughtfully, rather than feeling overwhelmed by daily or weekly figures generated by other check-in tools.

Staff described the traffic-light system used to display check-in outcomes as clear and intuitive – helping them quickly identify where support is most needed. They also appreciated that My Mind Check is grounded in a strong research and evidence base, developed by mental health and education experts rather than a commercial IT team. This credibility gave the school confidence that the tool is both scientifically sound and genuinely focused on student wellbeing.
